Configure User Types

Introduction

User types define the different categories of staff and their capabilities to cover different types of demand in the calendar. This configuration is essential for proper shift assignment.

Accessing the Configuration

  1. Access the calendar as administrator
  2. Click on the dropdown menu in the top right
  3. Select "User Types" from the menu

Managing User Types

Create New Type

To create a new user type:

  1. Click on the "New Type" button
  2. Complete the following required fields:
    • Name: Descriptive name for the user type
    • Abbreviation: Short code to identify the type (e.g., "SR" for Senior)
    • Polyvalences: Types of demand this user type can cover

Configure Polyvalences

Polyvalences determine which types of demand each user type can cover:

  1. In the left panel, you'll see all available demand types
  2. Use the ">" and "<" buttons to move demand types between panels:
    • Left panel: Available demand types
    • Right panel: Demand types assigned to this user type
  3. A user can only be assigned to demand types that are in the right panel

Edit Existing Type

To modify a user type:

  1. Select the user type from the dropdown menu
  2. Modify the necessary fields
  3. Update polyvalences if needed
  4. Save changes with the "Save" button

Set Default Type

To set a user type as default:

  1. Check the "Default" checkbox
  2. This type will be automatically assigned to new users
  3. Only one type can be set as default at a time

Delete Type

To delete a user type:

  1. Select the user type
  2. Click the "Delete" button
  3. Cannot delete a type that has users assigned to it

Important Considerations

Polyvalences

  • At least one demand type must be assigned
  • Polyvalences determine calendar flexibility
  • A user can cover any demand assigned to their type

Default Type

  • Simplifies new user onboarding
  • Can be modified at any time
  • Ensure the default type has the most common polyvalences

Abbreviations

  • Must be unique and recognizable
  • Used in reports and visualizations
  • Examples:
    • SR: Senior
    • JR: Junior
    • SP: Specialist

Best Practices

Planning

  • Define user types based on real needs
  • Consider staff experience and capabilities
  • Keep the structure as simple as possible

Polyvalences

  • Assign polyvalences logically
  • Consider required training for each demand type
  • Update polyvalences when capabilities change

Troubleshooting

Common Issues

  • Changes won't save: Verify at least one polyvalence is assigned
  • Name conflict: Ensure there are no duplicates
  • Cannot delete: Verify no users are assigned
